MCS installer job management: what the software must capture

An MCS installation is finished when the evidence exists, not when the heat pump runs: a certificate registered within 10 working days of commissioning, a handover pack, a grant claim and the photographs behind them. Most installers lose their admin hours rebuilding that evidence afterwards. Capture it once, on site, and an illustrative job drops from about 205 minutes of admin to 75.

The short answer

An MCS installation is not finished when the heat pump runs. It is finished when the evidence exists: a registered certificate, a handover pack, a grant claim and the photographs to back them all up. Most installers lose their admin hours rebuilding that evidence from memory back at the office, days after the van has left.

The fix is less about software features than about one principle: capture each piece of evidence once, on site, at the moment it happens, into a single job record that everything else is generated from. This article covers England and the schemes that apply there; check current scheme rules before relying on any of the figures.

What MCS and the grant actually require

Every one of these depends on information gathered on site. That is why the order of work matters more than the choice of product.

The admin per installation, in arithmetic

Take an illustrative heat pump job. Typed up afterwards, the survey write-up, quote, grant application, photo filing, commissioning records, MCS registration and handover pack come to about 205 minutes. At six installations a week, that is 20.5 hours of admin against 7.5 — 13 hours a week back. Multiply by 4.33 for a month (about 56 hours) and divide by 162.5, the hours in one UK full-time month (37.5 × 52 ÷ 12): roughly 0.35 of a full-time person.

What the software must capture on site

  1. The survey, structured, not as free-text notes: rooms, emitters, heat loss inputs, existing system, access.
  2. Photographs tied to the job and the step, taken in the app, so nobody sorts a camera roll on Friday afternoon.
  3. Commissioning results entered as they are measured, with the engineer and time recorded.
  4. Customer signatures and acceptance at handover, on the device.
  5. The grant and registration status, visible on the job, with the 10-working-day clock running from commissioning.

The 10-working-day window is a queue, not a date

At six installations a week, two working weeks of commissioning dates are always inside the registration window. That means about 12 certificates are open at any one time, each with its own deadline. A spreadsheet can track twelve dates; it cannot tell you which three are missing photographs.

The software should show the window as a queue: what is commissioned, what is ready to register, what is blocked and why. That is compliance and certification working as part of the job, not as a separate list.

For an installer, that is an opportunity rather than a warning — but only on clean data. AI can draft a quote, assemble a handover pack or summarise a survey well when the underlying record is complete and structured. Pointed at a camera roll and a notebook, it produces confident nonsense. Capture first; automate second; add AI third. The same order applies to workflow automation generally.

Buy, connect or build

Buy if a field service product already captures your survey, photographs and commissioning in the structure the scheme needs, and your volumes are modest. Many do most of it.

Connect if the field app is good but the quote, finance and registration live elsewhere and are re-typed. Make the job record flow once into each.

Everything the handover and the scheme will ask for, at the moment it happens: the survey and heat loss inputs, the agreed design, photographs of the installed system, commissioning results, the customer's details and the handover documents. The MCS certificate has to be registered on the MCS Installation Database and given to the customer within 10 working days of commissioning, so the software should treat that date as a hard deadline, not a reminder.

How long does an installer have to register an MCS certificate?

MCS requires the installation to be registered on the MCS Installation Database, and the certificate provided to the customer, within 10 working days of commissioning. The database will not accept a commissioning date more than 10 working days in the past without recording a reason for the late registration.

How much is the Boiler Upgrade Scheme grant in 2026?

According to GOV.UK, the standard grant is £7,500 towards an air source or ground source heat pump. In eligible off-gas grid properties it is £9,000 for air-to-water or ground source heat pumps from 21 July 2026 until 31 March 2027. The scheme is installer-led: an MCS-certified installer applies and claims on the property owner's behalf, and the grant appears as a discount on the quote.

Do installers need AI to fix their admin?

Usually not first. Most of the time goes on re-typing information that already existed on site, which good mobile capture and a connected job record remove without any AI.
